Clubrunner "'Membership Success" Our club has begun using a new member prospect engagement application. It is called 'Membership Success' and it is a sub module which is distributed for free use with your basic ClubRunner License. The application hosts a prospect repository integrated with email and forms to attract, engage, and manage potentially interested visitors on Social Media and the Web. It includes a full cycle member engagement workflow. Here is the engagement process. Member Engagement Process Workflow It comes with a couple of electronic web forms, one for web visitors and one for club members to refer potential Rotarians. Here is the inquiry form visitors would fill out with basic contact information. More information can be requested later in the process. Inquiry Form As you can see once it is linked the form takes on the appearance of your website and functions like it is part of your website. Our web site and Facebook home page are already inviting people to apply for membership through the application. They fill in a few contact details, ask any questions and indicate some of their Rotary history. When they hit submit, they receive a confirmation email and the system sends an email to our Membership team members to respond to the inquiry. All details are housed in a ClubRunner repository along with every interaction (emails, phone conversations, meeting details through the entire engagement process). They can literally apply online, paperless. It also contains 19 customizable email communications templates which personalize all communications with the prospect. Below is the inquiry response and invitation to a meeting email we have used to engage several prospects already. Another club using this claims numerous successful engagements with the module. Inquiry Response After notification, the membership team insures the prospect is invited to a couple meetings or events so they understand Rotary and once vetting is complete, they are presented to the Board for approval. Once they are approved, the system notifies new member and asks them to confirm and attend induction before it enters their same information into ClubRunner as a regular member. There are numerous email communications automatically triggered and sent as the candidate moves from Prospect, to Applicant, to Member. This central repository/notification application will allow Membership to work as teams and everyone on the team will know every up to the minute detail in the process. The templates will insure constant, low effort communication to the prospect. The tool even includes a marketing email drip campaign should then club choose to turn it on.
